Khedut Khata is a farm account book. A farmer records what was spent and earned on each field and crop, mostly by speaking rather than typing. This policy explains exactly what the app collects, why, where it goes, and how to get it deleted. It is written to be read, not to be skimmed past.
The short version. Your ledger lives on your phone. We store a backup on our server so you do not lose it if the phone is lost. We do not sell your data, we do not run ads, and we do not share your records with anyone outside the services listed below that are needed to make the app work.
1. Who we are
Khedut Khata is published and operated by ProofEasy Tech Solutions Private Limited, a company registered in India. We are the data controller for the information described in this policy.

2. What we collect, and why

We do not collect your contacts, your call or SMS history, your browsing activity, your advertising ID, or your location in the background. The app has no advertising and no third-party analytics or tracking software.
3. Voice recordings
When you tap the microphone and speak, the app records a short audio clip and sends it to our server, which passes it to our speech-to-text provider (Sarvam AI, in India) to be converted into Gujarati, Hindi, or English text. The text is returned to the app and becomes your entry.
The audio clip is used for that conversion and nothing else. We do not store your voice recordings on our server — the audio is held only in memory for the moment it takes to transcribe it. The transcribed text is saved with the entry, so you can see the words you actually spoke.
If speech-to-text is unavailable, the app falls back to your phone's own built-in voice recogniser, which is governed by your device manufacturer's and Google's privacy policies rather than ours.
4. Photos stay on your phone
When you attach a photo of an identity document (Aadhaar, PAN, or a licence) to a bhagiya agreement, the image itself never leaves your device. Only a reference to the file's location on your phone is included in the backup, not the picture. If you uninstall the app or lose the phone, that photo is gone — it is not in our backup and we cannot recover it for you.
5. Permissions the app asks for
Android will ask your permission before any of these are used. You may refuse any of them, and the rest of the app keeps working.

6. Who your data is shared with
We do not sell your data and we do not share it for advertising. Your data is handled only by the services required to run the app:
- Our own server — hosts your backup. It is reachable only over an encrypted (HTTPS) connection.
- Sarvam AI (India) — converts your speech to text, as described in section 3.
- Google (Gemini API) — reads the transcribed text of your spoken entry to work out the amount, the category, and who it relates to, and answers your questions in the in-app help assistant. It receives text, never your audio.
- MSG91 (India) — sends the one-time password SMS to your phone number when you sign in.
- Google Play Services — offers your own phone number for you to tap during sign-up, so you do not have to type it.
We may also disclose data if we are legally required to by a valid order under applicable law.
7. How long we keep it
Your ledger backup is kept for as long as your account exists, because its whole purpose is to still be there years later when you want to compare this season with the last. Voice audio is never stored. If you ask us to delete your account, we remove your data as described below.
8. Deleting your data
On your phone
Uninstalling the app removes the ledger stored on the device, including any identity photos it holds.
Your backup on our server
Email info@proofeasytechsolutions.com from, or quoting, the mobile number registered with the account and ask for deletion. We will delete your account and the ledger backup associated with it within 30 days, and confirm when it is done. Deletion is permanent — once your backup is gone, a lost phone cannot be restored from it.
You may also ask us for a copy of the data we hold about you, or ask us to correct anything that is wrong, at the same address.
9. Children
Khedut Khata is made for adult farmers and is not directed at children. We do not knowingly collect data from anyone under 18.

11. Changes to this policy
If we change how the app handles your data, we will update this page and change the "Last updated" date at the top. Significant changes will also be announced inside the app.
